1. IT & Digital Strategy Overview
CIA IT supports campus technology across the following areas:
- Digital Output Center (DOC) – High end color print, scan & finishing services
- Multi-function copiers, printers, and scanners are available for self-service use by students, faculty, and staff throughout the academic building.
- Digital Transformation – Systems modernization and improvements
- Media Services–
- Equipment borrowing of laptops, cameras, and other technology for academic use
- Tech needs for event support and classroom technology
- Interactive Media Lab (IML) – Technology innovation and collaboration space focused on the next generation of art and design tools
- IT Systems & Support – Help Desk, Hardware, accounts, infrastructure
- Online Services – Campus digital tools, portals, and integrations

2. Core Platforms
These systems make up the core digital tools used at CIA:
- Jenzabar / J1 – Student Information System and Enterprise Resource Planning (roles vary by job)
- Microsoft 365 – Email, file storage (OneDrive), productivity, collaboration tools
- myCIA Portal – Main campus portal for services and resources
- On Campus Network Storage – Departmental and shared drives
- Online Services (various) – System access depending on role View Catalog

- Find-me print release for students, faculty and staff

- Raiser’s Edge (Institutional Advancement, Events Manager)
- PowerFAIDS (Financial Aid, Business Affairs, Career Services, Admissions)
- SharePoint / OneDrive – File storage, sharing, and departmental collaboration
- Teams Calling – CIA’s phone and voicemail system
- Retired Systems: Google Workspace; Zoom for CIA hosted meetings
3. Account Access & Security
CIA uses secure login processes to protect data and systems.
- KnowBe4 Training – Required online security awareness training
- Keeper – CIA approved password manager (role dependent)
- MFA (Multifactor Authentication) – Additional login verification
- DUO – Two‑step login on specific systems
- Microsoft Authenticator – Primary two step for CIA accounts
- Single Sign On (SSO) – Your CIA Microsoft account is recognized as one login for most CIA systems
Your supervisor or IT will inform you which tools apply to your role.
4. Network & Connectivity
CIA offers several Wi-Fi networks based on building, device type, and access needs:
- Academic Building
- CIA – For CIA owned devices only; IT will connect this for you
- PinkPig – Secure Wi-Fi for personal devices in the Academic Building
- Residence Halls
- CIA117 / Uptown – Secure personal device Wi-Fi in Residence Halls
- IML (Interactive Media Lab)
- IML_Personal – Secure Wi-Fi for personal devices in the IML
- Campus-wide / Guest Access
- CIAGUEST – Visitor Wi-Fi for non-CIA devices; limited access
VPN (Virtual Private Network)
Required only for roles needing secure off campus access to internal systems (e.g., network drives, J1 admin tools). Your department will request VPN access if needed. (CIA uses Barracuda VPN)
5. New Employee Setup
Handled by IT and HR Before Your Start Date
- CIA email and network account creation
- Phone number assignment
- Jenzabar account roles
- Position related permissions
- Budget, requisition, and purchase order access (as needed)
- Addition to WebCheckout roster
- Omnilert/CIAlert account setup
- PaperCut account registration and setup
Day 1 / Week 1 (With IT Support)
- Initial Help Desk visit
- Laptop agreement acceptance
- Hardware/laptop setup
- Installation of role specific applications
- Microsoft Applications
- Google Chrome installation
- Adobe Creative Cloud setup
- Mapping of role specific network drives
- Administrative access as needed
- Access to J1, PowerFAIDS, Raiser’s Edge, Transact, DSNs/MSQRY (role dependent)
Employee Managed (With Assistance if Needed)
- Activate CIA Microsoft 365 account
- Log into Microsoft Teams + join departmental channels
- Set up voicemail
- Create email signature
- Access Paycor
- Update CIAlert (Omnilert) emergency contact information
- Enroll in MFA (Microsoft Authenticator + Duo for Keeper users)
- Activate Keeper password manager
- Review and sign Acceptable Use Policy
- Complete KnowBe4 training
