Problem
You need to securely share a video or file with someone outside of the Cleveland Institute of Art.
The video or file contains proprietary information or sensitive data that you know or think shouldn't be shared or accessed by more than a select few.
Solution with M365
- Find the video or file in OneDrive

- Select the elipses (...) or the Share icon
- Select the Share icon

- Select the Gear icon to open the Link settings.

- Select 'Anyone'
- Set the viewing permissions (can't download is the most secure)
- Set an expiration date (the more sensitive the data, the closer the expiration date)
- Set a strong password (record it so you can share it with the individuals who need access)
- Select 'Apply'

- Select 'Copy link'

Test and Share
It is important to test the link created to ensure anyone can open the link and use the password .
- Open a new Incognito/Private browser window
- Enter the copied link
- Verify the file name is the one you intended to share
- Enter the Password created in step 8
- Select 'Verify'
Using an Incognito/Private browser window for this process confirms that the video or file is ready for sharing with anyone that has the link and the password.
If the video or file is visible then sharing is now possible.
