Event Day Materials/Shipping/Pick Up

NATIONAL PORTFOLIO DAY 

Here are some general instructions for return shipping for the materials you will have at the National Portfolio Day Event.

 Note - If there is a CIA Admissions staff at the event with you , you will not have to worry about materials. Admissions Staff will have the materials and will set up and pack up everything ! 

Materials in Box will include 

  • Black tablecloth
  • Review sheets - x50
  • Large (business reply) envelope to hold review sheets
  • Travel brochures - x25
  • Pens - x5
  • Die-Cut pack
  • Deck of Cards
  • Portfolio Tip pack
  • Return shipping label
  • Table layout diagram
  • FAQ of student questions
  • Reviewing portfolios - Dos&Don'ts
  • End of event input
  1. The Box of Materials will be sent to the event space for you ! Please ask the event coordinators/check in about if they received a box of materials from the Cleveland Institute of Art.
  2. Set Up your station for the event
  3. Once event is done. Utilize the Blue Shiny Packet that was in the box to pack up ONLY the Black Tablecloth, Timesheet, W9 (if you needed to fill out a new one) and the Review Sheets. Then put the return shipping label on top of it ! Make sure to give away all other materials that are related to CIA Marketing/Branding! Especially the Deck of CIA Cards!
  4. Take shiny envelop with you on your flight. It should be able to fit in your luggage or just be something you carry-on.
  5. Once you arrive back to your home, please drop off the blue folder at nearest Postal Office ! 

Contingencies

  1. If you have the time to drop off the return packet before your flight , by all means drop it off at the nearest postal office that is open.
  2. If you cannot drop off the packet before your flight due to time constraint. Please take the Packet with you on your flight and when you are able to, as soon as possible drop it off to the nearest postal service ! 
  3. If you are staying in the location past the event time, please find time during that stay to drop off at the nearest post office as soon as possible. 

    If none of the materials got sent:

1. Make sure that the materials in fact did not make it. You can ask the event coordinator at the school to see if your supplies were shipped, they typically just need to check the mailroom.

2. If they are confirmed to not be anywhere on their campus. You can refer to the pdf versions of the documents that were sent to you in the Alumni Essentials folder, shared by Davon ([email protected]) . If there is a way to print documents you may absolutely do so.

3. Review the work still. Not having brochures, does not mean that we are not able to make sure that they get a healthy and thoughtful review. If anything have a laptop with you to maybe have a spreadsheet where students can fill out their contact info (name, email, high school, high school grad year)

4. Always feel free to contact Davon via [email protected] or text him (2164715507) but please keep in mind that he and other Admissions staff are also traveling and doing events with schools and NPD’s right along with you. Meaning we may not answer in the timeframe you’re expecting.

5. You can also ask if the venue has a table cloth you can borrow to at least cover the table!

Note:

  1. The faster we get this packet back , the faster we can process everything for you and the information from the event.”

COLLEGE FAIRS 

 

Materials in Box will include

  • End of event input
  1. College Fairs that are local will utilize just the box that contained the materials. As most college fairs are often local to Cleveland/Ohio. Alumni can pick up the materials and drop them back off to CIA.
  2. If an Alumni needs to needs materials shipped to them and/or wants to ship materials back to us. We will include the blue envelop. Alumni will only be expected to ship back tablecloth and any inquiry cards that were signed at the events (we may just use a QR code) we highly encourage you to give away as much CIA marketing materials as possible.
  3. We typically are not shipping for College Fairs unless an alumni is out of state and found out about a College Fair opportunity that would be good for CIA to have some representation at!
