What Happens if Something Goes Wrong?

None of My Materials Arrived at The Venue

Remember to double check! Ask the event coordinator to check the mailroom/address we were provided that it would be sent to (we should be sending this info anyway but if not ask Davon!) If it wasn’t sent, Davon has added printable versions of the documents to your Alumni Essentials Link, if theres a printer you could ask them to print out review sheets/inquiry cards if needed.

Flight Delayed or Cancelled?

Don’t panic, depending on the delay, you may still be able to get there in enough time. We are typically booking the flight so that you get there the night before the event. If it is delayed too long or cancelled you have the option to seek another Airline and pay for a flight that gets you there in time and we will reimburse you!

 If all else fails, please contact Davon and say that you are unable to attend the event due to circumstances out of your control that would make it impossible to get to the venue. We will message the event coordinator and let them know. 

This is typically a very rare occurrence! 

Traffic Delay Causing You to Arrive Late to Event?

We understand that things happen. As long as you get there safe, its fine to be a little late. 

We typically plan to arrive 30 min before the event starts (some events actual have a recommended set up/arrival time that we will send you) as this allows you to: 

A. Mentally prep yourself haha 

B. Get there in enough time where you beat traffic.

Lost Your Receipts For Reimbursement?

Often times you can call the place where you made the purchase to get a copy of the receipt. All you would need is the date you went, the time, the card used and the amount spent (refer to your bank statement).

 Sometimes they will ask what you ate as well to make sure they’re printing the right receipt. We absolutely need the itemized receipt, so please try to keep track of them!

We need something that tells us what you purchased, so that we are not reimbursing something against our policy. This includes your receipt from ubers and taxis.

Need to Stay Longer in the Event Location (State) ?

This needs to be established beforehand, especially if we are paying for your flight out. We need to make sure that we get you back to your home. 

If you want to stay longer, just let us know before we purchase your flight (1-2 weeks in advance)

 We will not reimburse you for the additional hotel stays but we will make sure that you get back home, as you are our responsibility at that point! 

If you drove and decided to stay wherever you were with family that is fine to but again we only reimburse mileage related to you driving for purposes of the CIA event, not for your entire stay outside of that.
